PICNIC PROTOCOL CONTRACT - APPLIES TO ALL BOOKINGS. SITE BOOKINGS AND INVOICE BOOKINGS. YOU ARE LEGALLY BOUND TO OUR TERMS AND CONDITIONS ONCE ANY FORM OF COMPENSATION HAS BEEN RECEIVED.
1. WE RESERVE THE RIGHT TO REFUSE SERVICE TO ANYONE.
2. PLEASE DO NOT BE LATE TO YOUR PICNIC. OUR PICNICS ARE TIME AND DAYLIGHT SENSITIVE, AND WE WILL NOT BE ABLE TO EXTEND YOUR TIME. PLEASE BUDGET TIME FOR TRAVEL, PARKING, & OR WALKING TO YOUR PICNIC. WE CAN GIVE A 15 MINUTE GRACE PERIOD – NO LATER. YOU CAN PURCHASE MORE TIME IF NEEDED.
3. A WAIVER WILL BE SENT VIA EMAIL. EACH MEMBER OF YOUR PARTY MUST COMPLETE THIS WAIVER A MINIMUM OF 24 HOURS PRIOR TO YOUR PICNIC. FAILURE TO DO SO WILL RESULT IN A NON-REFUNDABLE CANCELLATION OF YOUR PICNIC OR EXCLUSION OF CERTAIN MEMBERS OF YOUR PARTY ON DATE OF SCHEDULED PICNIC. NO EXCEPTIONS APPLY.
4. PLEASE DO NOT APPROACH YOUR PICNIC SETUP EARLY. OUR TEAM MEMBERS UTILIZE EVERY MOMENT PERFECTING YOUR SETUP. IF YOU SEE YOUR PICNIC TABLE BEING PREPARED, PLEASE DO NOT WALK UP UNTIL YOUR START TIME.
5. PLEASE DO NOT SIT, STAND ON, OR MOVE OUR PICNIC TABLES AND EQUIPMENT.
6. PLEASE BE RESPECTFUL OF THE BEACH AND OTHER BEACH GOERS. LEAVE YOUR ENVIRONMENT NICER THAN YOU FOUND IT.
7. YOU ARE RESPONSIBLE FOR OUR ITEMS DURING YOUR ALLOTTED TIME. PLEASE TREAT OUR EQUIPMENT WITH LOVE AND CARE. A MINIMUM $75 FEE WILL BE CHARGED TO THE CARD ON FILE SHOULD THERE BE ANY DAMAGE, THEFT, EXCESSIVE CLEANUP, ETC.
8. EACH PILLOW, BLANKET, AND DISH IS SANITIZED, PROFESSIONALLY CLEANED AND PACKAGED ACCORDINGLY BEFORE TRANSPORT, AND AFTER SETUP. ALL ITEMS ARE CLEANED BETWEEN EACH EVENT.
9. YOU ARE RESPONSIBLE FOR ANY BREAKS, STAINS, OR SPILLS TO OUR EQUIPMENT AND MAY BE CHARGED A CLEANING/BREAKAGE FEE IN THE EVENT OF SUCH INCIDENTS, DEPENDING ON THE STATE OF OUR ITEMS.
10. PLEASE DO NOT LIGHT OUR CANDLES. THEY ARE FOR DISPLAY ONLY. CANDLES THAT ARE MEANT TO BE LIT WILL BE LIT BY ONE OF OUR STAFF MEMBERS PRIOR TO YOUR ARRIVAL.
11. PLEASE DO NOT LEAVE YOUR PICNIC TABLE UNATTENDED FOR MORE THAN A FEW MINUTES.
12. OUR FLORAL ARRANGEMENTS ARE NOT TAKE-HOMES. IF YOU WOULD LIKE TO KEEP THE FLOWERS, JUST LET US KNOW. BUT WE CANNOT GIVE AWAY OUR VASES.
13. IN THE EVENT OF INCLEMENT WEATHER, STRONG WINDS, HIGH TIDES, OR VARIOUS BEACH HAZARDS, WE MAY ADVISE A LOCATION CHANGE FOR THE ACCESS AND SAFETY OF OUR TEAM, CLIENTS, AND PROTECTING THE EXPERIENCE OF YOUR PICNIC.

14. IN THE EVENT THE WIND PICKS UP UNEXPECTEDLY OR THERE ARE SEVERE CHANGES IN WEATHER, SOCAL PICNIC SOCIETY IS NOT RESPONSIBLE FOR ANY INJURIES OR LOST ITEMS, OR ACCIDENTS THAT MAY OCCUR.
15. IF YOU HAVE REQUESTED A LOCATION NOT LISTED, IT MAY BE SUBJECT TO A SELECT TRAVEL FEE DEPENDING ON MILEAGE AND ACCESSIBILITY, THE LOCATION MUST BE PRE-APPROVED BY OUR TEAM.
16. SOCAL PICNIC SOCIETY IS NOT HELD LIABLE FOR ANY POSSESSION OF ALCOHOL OR OTHER SUBSTANCES. WHAT YOU PROVIDE IS UP TO YOUR DISCRETION, AND WE ARE NOT HELD RESPONSIBLE FOR ANY CONSEQUENCES.
17. IF YOU BRING ALCOHOL, YOU ARE RESPONSIBLE FOR THE DISPOSAL OF IT. (GLASS BOTTLES, CANS, ETC.)
18. CONFETTI IS PROHIBITED AT PICNICS. USE OF CONFETTI, POPPERS, AND SILLY STRING WILL RESULT IN AN ADDITIONAL CLEANING FEE.
19. YOUR CARD ON FILE WILL BE CHARGED AS NEEDED FOR ADDITIONAL FEES. IF YOU WOULD LIKE TO PROVIDE PAYMENT ANOTHER WAY, JUST LET US KNOW AHEAD OF TIME.
20. YOU WILL BE CHARGED A NON-REFUNDABLE FEE OF $150 FOR SAME-DAY CANCELLATIONS OR NO SHOWS. IF A DEPOSIT HAS ALREADY BEEN MADE, NO REFUNDS WILL BE OFFERED - NO EXCEPTIONS!
21. ALL CLIENTS MUST PAY BEFORE DEPARTURE. UNPAID OR LATE INVOICES WILL RESULT IN A PENALTY CHARGE OF $50 PER DAY.
22. WE ACCEPT CASH, CARDS, AND ALL FORMS OF PAYMENT.
23. AFTER YOU BOOK OUR SERVICES, AND PAY 50% OF THE PICNIC AS A DEPOSIT, WE CAN RESCHEDULE YOU FOR ANOTHER DAY, OR FOR A FUTURE DATE, BUT WE DO NOT GIVE REFUNDS ON THE DEPOSITS OR PERISHABLE GOODS PURCHASED (NO EXCEPTIONS). PLEASE LET US KNOW AS SOON AS POSSIBLE IF YOUR DATE NO LONGER WORKS AND PLAN ACCORDINGLY. IMPORTANT NOTE: SHOULD ANY PARTY CANCEL LATER THAN 3 DAYS BEFORE YOUR PICNIC, WE WILL NOT BE ABLE TO REFUND THE FULL AMOUNT PAID. THIS IS DUE TO ACCOUNTING FOR COSTS OF PERISHABLE GOODS AND LABOR. THIS INCLUDES BUT IS NOT LIMITED TO FOODS, FLOWERS, OR CUSTOM ITEMS PURCHASED, LABOR COSTS, ETC. WE CAN RESCHEDULE FOR A DIFFERENT DATE; HOWEVER, THIS IS SUBJECT TO AVAILABILITY. ALL RESCHEDULED PICNICS ARE SUBJECT TO A FEE IF REQUESTED LATER THAN 3 DAYS BEFORE YOUR SCHEDULED PICNIC. THIS ACCOUNTS FOR THE REPURCHASING OF PERISHABLE GOODS SUCH AS FLOWERS AND FOODS. ALL RESCHEDULED PICNICS MUST BE RESCHEDULED WITHIN 90 DAYS. FAILURE TO RESCHEDULE WITHIN THE DESIGNATED TIME FRAME WILL RESULT IN THE LOSS OF ANY MONETARY VALUE(S) SUBMITTED, CREDIT FOR A NEW PICNIC, ETC. YOU WILL NEED TO RESTART THE BOOKING PROCESS AND COVER ALL NECESSARY FEES OF THE NEW BOOKING.
